We are seeking a highly organized Spa Manager to oversee the daily operations of our Traditional Chinese Medicine (TCM) clinic. The successful candidate will ensure the efficient delivery of wellness services, manage administrative staff, and maintain high standards of patient satisfaction and clinic performance

Responsibilities:
• Plan, organize, direct, control, and evaluate the clinic’s daily operations, including scheduling patient appointments and coordinating treatment room readiness.
• Establish and implement internal policies and procedures for staff to ensure compliance with health, safety, and sanitation regulations.
• Hire, train, and supervise administrative and support staff. Provide ongoing mentorship to ensure consistent service standards across the clinic.
• Plan and control the clinic’s operational budget and inventory of TCM products and supplies.
• Address and resolve customer complaints or concerns with professionalism to maintain high levels of client retention.
• Manage contracts for advertising and develop marketing strategies to attract new clients to the clinic.
• Ensure the clinic operates in accordance with provincial health regulations and the standards set by the relevant regulatory body
• Implement and monitor strict infection control, sterilization, and sanitation procedures for treatment rooms and equipment.
• Oversee the secure maintenance and retention of electronic and physical patient files in compliance with privacy laws (PIPEDA/PHIPA) and professional record-keeping standards.
• Manage the procurement, labeling, and safe storage of TCM herbal products, ensuring they are kept free from contamination and used before their expiry dates.
• Establish and negotiate contracts with specialized suppliers for clinical materials such as acupuncture needles, massage oils, and raw herbs.
• Collaborate with practitioners to develop and promote seasonal wellness packages or holistic health programs (e.g., detox programs or stress-management workshops).
• Monitor key performance indicators such as patient retention rates, room utilization, and revenue per treatment to drive clinic growth.
• Create and execute marketing strategies, including social media campaigns and community partnerships, to increase awareness of the clinic’s traditional therapies.
• Organize ongoing training sessions for administrative staff on patient interaction etiquette and the basic principles of TCM services.
• Optimize staff shift schedules to align with peak patient demand and practitioner availability.
